As a Level 2 Administrative Assistant, you will act as a proactive, high-functioning partner to senior leaders and their teams. This role requires professional maturity, absolute discretion, and the ability to operate independently to ensure operational excellence across the department.
Key Responsibilities:
- Leadership Support: Serve as the primary point of contact for internal/external stakeholders and manage sensitive information with sound judgment.
- Complex Coordination: Orchestrate high-volume calendars across multiple time zones; manage end-to-end logistics for meetings, town halls, and offsites (including catering and materials).
- Travel & Expenses: Coordinate domestic and international travel arrangements and manage expense reporting in compliance with company policies.
- Communications: Draft and edit professional correspondence and maintain critical documentation, distribution lists, and shared calendars.
- Operational Onboarding: Facilitate new hire setups, including workspace and logistical coordination.
- Team Synergy: Provide backup coverage for other assistants and participate in peer coaching within the administrative community.
Qualifications & Competencies:
- Experience: Proven track record supporting senior leaders or multiple teams in a fast-paced environment.
- Technical Skills: Proficiency in office productivity suites, calendar management, and digital collaboration platforms.
- Soft Skills: High attention to detail, proactive problem-solving, and the ability to manage competing priorities under tight deadlines.
- Discretion: Demonstrated ability to handle confidential data with total professionalism.
