Purpose of the Position: (must to fill)

The position is responsible for providing administrative support to commercial/AE leaders in Shenzhen office with administrative activities, day-to-day administrative support, to which including travelling arrangement, expense report preparation, meeting planning & logistics support, sample shipment, and document processing etc.

Day to Day Responsibilities: (must to fill)

  • Assist commercial leadership to handle reporting, traveling logistics and expense report requirement, interpretation and translation, calendar management, documentation etc.
  • Maintain appointments and meetings by scheduling and coordinating appropriate time, coordinating with internal and external contacts as needed.
  • Sample process management for AE team including custom clearance. Experience in customs affairs preferred.
  • Document conversation and discussions and provide interpretation as needed
  • Arrange leadership visits to China
  • Play as an important role on office activities, such as preparing meeting; organizing team building; coordinating oversea colleagues visit to China etc.
  • Archiving the sales agreements (CCMS and CDTCQ) for the AM/CSR team, including getting signature approval and documents sign and chop
  • Delivering/posting the AR invoice hard copies to customers, including printing and signature and chop

Requirements: Required Skills

  • Translation support
  • Company car management
  • Other admin issues assigned by the manager
  • Good communication skills and coordination skills
  • Independent with strong problem-solving skills
  • Fluent written and spoken Chinese & English
  • Highly proficient in using MS office tool kit especially on Calendar Scheduling/Excel/PPT/Outlook/Word (Project – desired, but not required)
  • Excellent time management and able to handle multi-tasks well
  • Previous executive assistant experience
  • Discipline, accountable, Considerate
  • Team work, able to work as part of a team; meets own requirements while supporting others
  • Attitude: Positive working attitude; Willing to take on a task where needed
  • Proactive: Reviews situations and proactively act on the opportunities to contribute team success
