About the Opportunity:
We are seeking a highly proactive, polished, and business-oriented Executive Assistant to support senior leadership in establishing and scaling the operations of a well-known international brand in Dublin, Ireland.
This is a high-visibility role requiring exceptional coordination, communication, and organizational skills. The ideal candidate will act as a trusted partner to leadership, supporting strategic initiatives, operational setup, stakeholder coordination, and day-to-day executive management during an exciting growth phase.
Key Responsibilities:
Executive & Business Support
- Manage complex calendars, meetings, travel schedules, and executive priorities
- Coordinate leadership meetings, prepare agendas, MOMs, and follow-up actions
- Support leadership in daily operational and strategic activities
- Act as a key point of contact between leadership, internal teams, and external stakeholders
Business Setup & Coordination
- Support the setup and coordination of the Dublin office and related operational activities
- Coordinate with external vendors, consultants, legal, finance, and administrative partners
- Assist in documentation, presentations, reporting, and process organization
- Track critical business milestones, timelines, and deliverables
Stakeholder Management
- Liaise confidently with global teams, partners, consultants, and senior executives
- Maintain confidentiality while handling sensitive business information
- Support cross-functional communication across international teams
Administration & Operations
- Manage business correspondence, records, and executive documentation
- Organize leadership visits, events, and internal/external meetings
- Ensure smooth administrative and operational workflows during the expansion phase
Candidate Profile
Experience:
- 5–10 years of experience as an Executive Assistant, Business Coordinator, or Executive Office professional
- Experience supporting senior leadership, founders, CXOs, or international teams
Skills & Competencies:
- Strong organizational and multitasking skills
- Excellent communication and stakeholder management abilities
- High level of professionalism, discretion, and confidentiality
- Strong problem-solving and execution mindset
- Ability to work in a fast-paced, evolving environment
