Project Manager Specialist – Marketing Operations

The Project Manager Specialist will support the successful execution of marketing initiatives by managing projects, timelines, workflows, and cross-functional collaboration across multiple marketing verticals. This role partners closely with internal teams, external partners, and Marketing leadership to ensure projects are completed efficiently, on time, and aligned with business priorities.

This individual will play a key role in maintaining operational excellence, improving workflow processes, and driving project execution from strategy through delivery.


Key Responsibilities

Project & Operational Management

  • Lead and coordinate marketing-related projects across multiple business areas.
  • Create, maintain, and manage project documentation, schedules, status reports, and workflow tracking.
  • Ensure strategies and project requirements are approved prior to execution for seamless delivery.
  • Identify project risks, delays, or resource gaps and proactively implement mitigation plans.
  • Partner with Project Managers and stakeholders to manage scope changes, timeline adjustments, and project priorities.
  • Ensure stakeholder feedback is addressed and incorporated in a timely manner.
  • Monitor project progress and communicate updates, risks, and challenges proactively.

Workfront & Systems Management

  • Serve as the subject matter expert for Workfront project management software.
  • Build, maintain, and update marketing projects and workflows within the system.
  • Audit templates and processes to ensure alignment with current operational best practices.
  • Ensure project assets, milestones, approvals, and workflow steps are completed accurately and on schedule.

Cross-Functional Collaboration

  • Lead and facilitate cross-functional project meetings to ensure alignment and execution.
  • Prepare meeting agendas, document action items, and communicate follow-up steps.
  • Collaborate with internal business partners to remove roadblocks and support key project decisions.
  • Work closely with cross-functional teams to adjust timelines, scope, and resources as business needs evolve.
  • Maintain strong partnerships across departments to support ongoing business initiatives and product priorities.


Qualifications

  • 3–5 years of Project Management and/or Operations Management experience.
  • Experience supporting marketing, creative, or production workflows preferred.
  • Strong organizational, communication, and multitasking abilities.
  • Proficiency with Microsoft Office Suite.
  • Experience with Workfront or similar project management platforms strongly preferred.
  • Ability to work in a fast-paced, collaborative environment.
  • Must be able to work a hybrid schedule with in-office attendance Tuesday through Thursday.
