To strengthen our dedicated team we are now looking for an
Alumni Relations Manager (m/f/d; Full-Time or Part-Time)
Your Tasks
- Serve as the primary point of contact for our global alumni community, ensuring professional, timely, and service-oriented communication while managing day-to-day alumni inquiries, database updates, and administrative processes with accuracy and care
- Work hand-in-hand with the Head of Alumni Relations on the planning and delivery of key alumni and institutional (evening) events, taking responsibility for operational coordination and ensuring an excellent participant experience from preparation to follow-up
- Own and further develop the Alumni Mentoring Program by combining strategic thinking with hands-on coordination — from improving processes and participant experience to managing communication, matching, and program operations
- Shape and coordinate alumni communications across multiple channels, including newsletters, email campaigns, social media, and storytelling initiatives that strengthen engagement and community connection, in close collaboration with the Head of Alumni Relations and the Marketing Department
- Collaborate closely with the Career Center to create meaningful touchpoints between alumni and current students through mentoring, networking, career initiatives, and employer engagement activities
- Contribute to the development and implementation of new alumni engagement formats and community-building initiatives (e.g., Alumni Insights, regional activities, digital formats, or volunteer initiatives) by bringing in ideas, supporting execution, and taking initiative in close partnership with the Head of Alumni Relations
- Support the Head of Alumni Relations with strategic initiatives, the annual Alumni Survey, reporting, presentation preparation, and budget planning
- Maintain and continuously improve the digital alumni experience, including website updates, platform management, content coordination, and ensuring data quality across alumni systems and tools
- University degree and 2–3 years of relevant professional experience
- A strong sense of ownership and reliability - you take responsibility and follow through
- Structured, detail-oriented, and highly organized
- Excellent communication skills, both written and verbal
- A proactive mindset with the ability to anticipate needs and think ahead
- Experience in event organization is a strong advantage
- Interest in and affinity for digital tools (e.g., CareerOS, PicDrop, CMS, ticketing systems, newsletter tools)
- Fluent in English (required); German is a plus
