Executive Administrative Assistant – Senior Leadership Support
Dallas, TX (In-Office | Must be local)
$29/hour (approximately $60,000 annually, based on 40 hours/week)
Join a leading global financial services firm as an Executive Administrative Assistant, where you’ll serve as a trusted partner to senior leaders in a fast-paced, high-performance environment. This role is ideal for an experienced administrative professional who excels at managing complexity, anticipating needs, and operating with a high degree of professionalism and discretion.
Key Responsibilities
Executive & Business Support
- Partner closely with senior executives and their teams to provide seamless administrative and operational support
- Manage shifting priorities and provide proactive solutions to keep leaders organized and effective
- Support business operations through documentation, invoicing, reporting, and special projects
Calendar, Meetings & Communications
- Oversee complex, high-volume calendars across multiple time zones
- Coordinate internal and external meetings, including senior stakeholder interactions
- Serve as a primary point of contact for scheduling and communications, handling sensitive interactions with professionalism
Travel & Logistics
- Coordinate domestic and international travel, including flights, accommodations, and itineraries
- Prepare and manage expense reports and related documentation with accuracy and timeliness
Confidentiality & Operations
- Handle highly sensitive information with discretion and sound judgment
- Ensure alignment with internal policies and compliance requirements
Qualifications
- 3–5+ years of experience supporting senior executives in a fast-paced corporate or financial services environment
- Proven ability to manage complex calendars and multiple priorities with minimal oversight
- Strong communication skills and executive presence
- High attention to detail with excellent organizational and problem-solving abilities
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Zoom
- Experience with expense platforms such as Concur preferred
