This is not a traditional administrative role — this position operates as a strategic partner responsible for maximizing executive effectiveness, protecting focus, and driving follow-through across the organization.

Job Summary
The Executive Assistant provides high-level administrative and operational support to the CEO, ensuring efficient coordination of executive priorities, communication, and strategic initiatives. This role requires exceptional organization, professionalism, discretion, and the ability to manage multiple priorities while handling sensitive information.

Key Responsibilities
Executive Focus & Calendar Protection
- Strategically manage and filter the CEO’s calendar, meetings, and travel
- Prioritize scheduling conflicts and protect time for strategic work and leadership development
- Route operational matters to appropriate leaders when executive involvement isn’t required
- Prepare agendas, meeting materials, and track follow-up items
- Manage and triage emails, calls, and executive communications
- Draft responses in the CEO’s voice for review and approval
- Act as gatekeeper while maintaining professional communication standards
- Prepare a concise daily briefing with key updates, issues, and decisions
- Capture action items from leadership meetings
- Assign owners, deadlines, and track progress
- Provide status updates and ensure nothing falls through the cracks
- Support cross-departmental projects, research, and reporting
- Track milestones, wins, and recognition opportunities
- Assist with leadership initiatives, celebrations, and culture programs
- Build strong relationships across the organization
- Maintain organized files, documents, and records
- Coordinate travel logistics and external meetings
- Liaise with vendors and manage office needs
- Handle confidential information with discretion and professionalism
- Help manage key commitments, events, and travel
- Ensure important meetings, deadlines, and relationships are never missed
Experience:
- 3–5+ years supporting senior executives or leadership teams
- Experience in fast-paced or corporate environments preferred
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Microsoft Teams experience required
- Strong calendar and project management skills
- Excellent written and verbal communication
- High emotional intelligence and confident assertiveness
- Ability to manage multiple priorities independently
- Professional demeanor with strict confidentiality standards
Job Type: Full-time
Schedule: Monday–Friday, weekends as needed
