The APAC Lead Event Coordinator will be based in Hong Kong and will report into our Head of EMEA & APAC Events, based in London. They will handle corporate event needs for Equities, Fixed Income, Investment Banking, Corporate and Asset Management and will work in close collaboration with regional senior business managers, COOs and stakeholders globally. The wider events team is based across Jefferies London and New York offices.
Key Responsibilities & Tasks
- Comprehensively coordinate a range of events and sponsorships, taking place across the APAC region
- Oversee event execution, and ensure each is maximized and accurately reported upon
- Work onsite at various events when necessary, to include some travel for larger events in the region.
- Financial management and negotiation of event budgets
- Manage the development of invites, event signage and firm branding in partnership with the marketing team, and using the firm’s invite CRM system
- Negotiate with and contract vendors (i.e., venues, hotels, ground transportation, entertainment, décor, etc.)
- Handle the submission of contracts and legal review – ensure that we are following proper signatory procedures
- Maintain and grow relationships with internal and external stakeholders, vendors and suppliers
- Measure and report on event statistics and budgets to business stakeholders
- Manage team administrative functions, including monthly expense reconciliation and vendor directory.
- 5+ years of event planning experience
- Experience of working in, or with, the financial services industry a plus
- Experience of working within a global company, across multiple time zones a plus
- Superior organization and adaptability skills
- Quick learner who is highly motivated and a proactive self-starter
- The ability to work cohesively in a team, as well as independently.
- Autonomous, versatile task management. Ability to operate without direct in-person supervision.
- Ability to manage multiple high-level, time-sensitive projects simultaneously with superb attention to detail
- Strong interpersonal and communication skills (verbal and written)
- Proficiency in MS Office, particularly in MS Excel and MS Outlook
- Knowledge of Meetmax a plus, but not essential
