Key Responsibilities
- Manage complex and fast-moving executive calendars, including prioritization and scheduling
- Coordinate domestic travel arrangements and detailed itineraries
- Serve as a gatekeeper and communication hub for the CFO/COO
- Manage incoming/outgoing communications, including email, calls, and correspondence
- Prepare, edit, and format executive-level documents, reports, and presentations
- Filter and summarize key information for executive decision-making
- Schedule, coordinate, and support meetings, including agendas and notes when needed
- Track expenses, assist with budget items, and support invoice processing
- Partner with internal teams to support project coordination and follow-ups
- Act as a liaison between the executive team and internal/external stakeholders
- Conduct research and prepare briefs to support strategic decisions
- Maintain strict confidentiality with sensitive company and financial information
- Support occasional personal tasks tied to executive workload efficiency
- Handle additional ad hoc projects as business needs evolve
- 3–7+ years of experience as an Executive Assistant or similar senior support role
- Experience supporting C-level executives strongly preferred (Finance/Operations a plus)
- Exceptional organizational skills with the ability to manage shifting priorities
- Strong written and verbal communication skills with professional polish
- High level of discretion, judgment, and confidentiality
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
- Experience with CRM, financial systems, or enterprise tools preferred
- Proven ability to work independently and anticipate executive needs
- Bachelor’s degree in Business Administration, Finance, or related field preferred
