We are currently looking for a well-organized and communicative Office Assistant to join our team in Warsaw and support our daily office operations.
Key Responsibilities
- Office Space Management: Maintaining order and ensuring the proper setup of conference rooms, kitchen areas, chill rooms, and open space.
- Reception & Guest Relations: Managing the front desk, welcoming guests, and coordinating conference room bookings.
- Administrative Support: Handling incoming and outgoing mail, managing internal document flow, and directing phone calls to the appropriate team members.
- Executive Travel Support: Coordinating travel logistics for the Management Board, including booking flights and hotels, and managing business trip itineraries.
- Event Coordination: Assisting in the planning, logistical organization, and execution of internal company events and team-building activities.
- Supply Coordination: Managing relationships with vendors and ensuring the continuous supply of office and food products.
- General Tasks: Providing ongoing administrative support to the team and maintaining a professional company image.
- Previous experience in a similar administrative or office-based role.
- Fluency in English (B2/C1), both written and spoken.
- Strong organizational skills and a proactive, professional attitude.
- Excellent communication skills and high personal culture.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Availability to work full-time, 8 h a day, Monday to Friday, 8:00 AM – 4:00 PM or 10:00 AM - 6:00 PM
