Scholarship Programs Coordinator

The Scholarship Programs Coordinator is responsible for overseeing and administering prestigious and impactful scholarship programs benefiting students at Texas A&M University. This role serves as a key liaison between the Texas A&M Foundation and Texas A&M University and provides direct support to donors, scholars, and campus partners throughout the full scholarship lifecycle. The coordinator witnesses firsthand the impact of philanthropy in transforming lives while ensuring scholarships are administered in accordance with donor intent, University guidelines, and Foundation policies.

What You’ll Do

Role

As the Scholarship Programs Coordinator, you will support the effective administration of Foundation-managed scholarship programs and provide exceptional service to donors and recipients. In this role, you will:

  • Perform critical administrative duties to support Scholarship Programs, including processing scholarship applications, matching students to donors, maintaining records, and revising policies and procedures.
  • Utilize database and software applications to enter, maintain, and retrieve accurate scholarship information and records.
  • Prepare scholarship guidelines and agreements for new donors and update donor files with current documentation.
  • Assist in monitoring active scholarship accounts to ensure awards are issued in alignment with established guidelines and donor gift agreements.
  • Manage bi-annual processes to review student academic records, verify eligibility, and communicate academic status updates to donors.
  • Assist with reconciliation of student payments with the Office of Scholarships and Financial Aid and support scholarship funding projections.
  • Serve as a liaison between the Texas A&M Foundation and the Texas A&M Office of Scholarships and Financial Aid to facilitate the accurate flow of scholarship award information.
  • Serve as a subject matter resource on Foundation-administered scholarships, providing professional, responsive, and knowledgeable support to donors, parents, and scholarship recipients.
  • Assist with scholarship notifications, thank-you correspondence, reporting, and stewardship efforts.
  • Represent Scholarship Programs and the Texas A&M Foundation at scholarship, University, and Foundation events while maintaining a donor-centric approach.
  • Collaborate with internal teams, including Engagement Services and Marketing & Communications, to support scholarship events, materials, and outreach efforts.
  • Contribute to continuous improvement by identifying process enhancements and sharing knowledge across the team.

What We Require

  • Bachelor’s degree or an equivalent combination of education and experience.
  • 3+ years of professional experience in scholarship administration, admissions, financial aid, higher education administration, business, communications, or a related field.
  • Proficiency in Microsoft Office products and experience working with complex database systems.
  • Strong written, verbal, and interpersonal communication skills with the ability to interact professionally with internal and external constituents.
  • Demonstrated ability to maintain confidentiality and exercise tact, diplomacy, and discretion.
  • Strong organizational skills with the ability to manage multiple tasks, prioritize work, and meet deadlines.
  • Commitment to the mission and vision of the Texas A&M Foundation.

We’d Love to Find Someone With

  • Master’s degree.
  • 4-5 years of experience in scholarship administration, admissions, financial aid, higher education administration, business, communications, or a related field.
  • Experience using donor database or CRM systems such as Salesforce, Ellucian Advance, or Blackbaud.
  • Experience in fundraising or within the nonprofit sector.
  • Ability to comprehend and support the full scholarship awarding cycle across multiple stages and stakeholders.
  • Proven ability to collaborate across teams and build strong working relationships.
