Job Overview

We’re looking for an enthusiastic and highly organised Organisational Development Coordinator to join our Workforce & Organisational Development team at Aneurin Bevan University Health Board on a 12-month maternity cover basis.

This is a pivotal role at the heart of our Organisational Development function, supporting learning and development activity that reaches over 16,000 staff across the University Health Board. The postholder will play a key role in ensuring our learning system runs smoothly, acting as the team’s expert administrator for the Electronic Staff Record (ESR) and Oracle Learning Management (OLM) and supporting colleagues across the organisation to access and manage learning effectively.

Alongside managing ESR and OLM, you’ll provide high-quality coordination and administrative support to a range of exciting OD programmes and projects that help individuals and teams thrive at work. From producing engaging learning communications to analysing data that informs improvement, you’ll see first-hand how your work contributes to improving the experience of staff and ultimately the services we provide to the people of Gwent.

We’re looking for someone who is proactive, digitally confident, and passionate about great organisation and systems, with the ability to juggle priorities and spot opportunities to improve the way we work.

Main duties of the job

The post of Organisational Development Coordinator is at the heart of the Aneurin Bevan University Health Board’s Organisational Development team.

The Organisational Development Team form part of the wider Workforce & OD function, and provide a wide range of services/projects which support individuals and teams from all areas of ABUHB to thrive in the workplace and achieve their potential.

This Role Is

Required to provide a comprehensive administration and coordination service which enables the OD function to run smoothly and efficiently. This requires proactive planning and organisation, close liaison with team members and other stakeholders, and regular reprioritising of workload in order to meet both planned and emerging demands.

Responsible for the use of the Electronic Staff Record (ESR) Oracle Learning Management (OLM) module and acts as the Organisational Development Team’s expert in any issues.

Required to create visually engaging learning and advertising materials which help to enhance the professional reputation of the Organisational Development function.

Expected to generate and analyse data relating to the activities of the Organisational Development team.

Encouraged to proactively identify ways of improving the efficiency or effectiveness of the Organisational Development services we provide, and take action in implementing improvements.

This post is secondment for 12 months to cover maternity.

Qualifications

Essential criteria

  • CQFW Level 4 or possess an equivalent level of demonstrable knowledge and experience

Desirable criteria

  • Evidence of recent CPD relevant to the work of the ABUHB Organisational Development team

Experience

Essential criteria

  • Specialist knowledge of using ESR and OLM in order to:
  • create courses, offerings and classes
  • establish and record learning pathways in ESR for appropriate staffing groups
  • offering advice and training to colleagues and the wider organisation
  • recording learner attendance/non-attendance o creation, application and reporting of competencies o NHS Wales eLearning
  • Effective written, telephone and face-to-face communication with colleagues and stakeholders at all levels and from different professional staff groups
  • Providing a high standard of customer service to both internal and external customers
  • Providing an excellent administrative service to a busy team
  • Working without supervision when required
  • Working with online databases (preferably Oracle or equivalent IT based systems)
  • Competent creation of data reports and analysis of data to identify issues/trends
  • Competent use of Microsoft Outlook, Word, Excel and PowerPoint

Desirable criteria

  • Working in the NHS
  • Project management
  • Administration of a teaching/training service
  • Authoring of web pages (preferably using Cascade)

  • Well organised, able to switch between tasks as required and deal with multiple issues
  • Ability to prioritise multiple tasks in order to manage competing demands and meet deadlines
  • Ability to work independently and without the need for direct supervision
  • High professional standards with excellent attention to detail
  • Comfortable with data and data analysis/manipulation
  • Able to analyse problems and initiate appropriate solutions

Desirable criteria

  • Ability to speak Welsh at Level 2 (as defined by the Welsh Language Skills Matrix)
