Job Overview
Reporting to the General Manager, the post holder will be key in supporting the Division through the delivery of key objectives. The post holder will be required to liaise with the Senior Managers across the Division and external parties to progress projects. The post holder will also undertake general business and administrative duties as required. Working closely with senior managers across the division, the successful candidate will primarily provide support to the Division as well as Directorate teams.
The post holder will play a key role in planning and delivering operational initiatives aligned with local and national strategies. They will also provide project support for major service improvement programmes within the division, producing relevant documentation and reports as required. In addition, they will collaborate with both internal and external stakeholders to develop tools and solutions that enhance processes and services across the directorates and wider division.
The post holder will be expected to work flexibly in order to ensure the smooth running of the Business Support function.
Main duties of the job
- Demonstrate excellent interpersonal and communication skills in all verbal and written interactions, including the ability to negotiate and apply persuasive techniques where required.
- Build and maintain effective working relationships across all levels of the division, from Clinical Directors to Directorate Managers.
- Communicate sensitive business information in a diplomatic and professional manner.
- Manage and respond to all forms of communication promptly and appropriately.
- Draft correspondence on behalf of the Senior Leadership Team as required.
- Engage regularly with external agencies and stakeholders.
- Coordinate the Divisional team to ensure key business functions are completed on time (e.g. Divisional Assurance, Directorate Assurance, Annual / Mid year reviews).
- Use tact and persuasive skills to influence stakeholders and support improvements to processes and services across the directorate.
- Manage rota staff as required, including delegation of tasks.
- Develop, review and maintain divisional process documentation .
This is a 12-month secondment to meet service needs.
