Primary Services is excited to announce the role of Executive Assistant for a large global organization seeking an experienced professional to support executive-level operations within a highly dynamic environment. You'll provide direct support to senior leadership, managing competing priorities, handling sensitive information, and meeting time-critical deadlines while ensuring seamless administrative and operational execution across multiple time zones and business functions.
Responsibilities
- Manage executive email inbox by screening, prioritizing, and tracking correspondence to ensure timely responses.
- Maintain and optimize executive calendars, resolving scheduling conflicts and coordinating across senior stakeholders.
- Coordinate meeting logistics, including agendas, materials, attendance, and follow-up actions.
- Support executive leadership with ongoing tracking of action items and progress reporting from key meetings.
- Arrange complex domestic and international travel itineraries with attention to timing, cost efficiency, and business requirements.
- Process expense reports with complete supporting documentation and accurate coding in accordance with internal policies.
- Safeguard and handle highly confidential and sensitive information daily.
- Liaise with internal and global stakeholders across multiple time zones to ensure alignment and communication flow.
- Maintain awareness of business priorities to anticipate scheduling and administrative needs.
- Support time reporting activities and ensure accurate records of meetings, correspondence, travel, and events.
- Coordinate special projects, events, and executive-level engagements, ensuring deadlines are met under shifting priorities.
Qualifications
- Minimum 5–8 years of experience as an Executive Assistant or Senior Administrative Assistant supporting C-level or VP-level leaders.
- Fluency in English required, both written and verbal.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
- Experience managing complex executive calendars and global travel arrangements.
- Proven ability to process expense reporting systems and maintain detailed administrative records.
- Experience working across international time zones and global organizational structures.
- Strong familiarity with handling confidential and restricted information in a professional environment.
- Ability to maintain accurate documentation related to meetings, correspondence, and executive activities.
- Experience with enterprise scheduling, travel, or ERP systems preferred.
