We are a high-performance firm specializing in global advertising and e-commerce, operating at a fast-paced, high-scale level. We are seeking a Personal Management Assistant to directly support the CEO as a strategic partner, gatekeeper, and lifestyle manager.
This is not a typical administrative role. You will serve as the operational backbone of the CEO’s day-to-day success—managing both business priorities and personal logistics with precision and discretion.
Key Responsibilities
Executive Operations
- Own and manage the CEO’s calendar, including high-priority meetings and global travel coordination
- Handle sensitive communications and correspondence on behalf of the CEO
- Ensure the CEO is consistently well-informed on all matters—both business and personal—through proactive and timely communication
Strategic Liaison
- Act as the bridge between the CEO and internal teams
- Coordinate with consultants and external partners as needed
- Track project milestones and ensure alignment with the CEO’s vision
Personal Management
- Oversee personal logistics, including household coordination and vendor management
- Assist the CEO with personal matters such as errands and household upkeep
- Provide hands-on, day-to-day support based on the CEO’s needs
Operations & Documentation Support
- Handle documentation and administrative processes
- Take charge of assisting with visa renewals, company registrations, and related requirements
- Manage confidential matters with the highest level of discretion
Decision Support
- Conduct research, prepare reports, and provide insights to support executive decision-making
- Ensure the CEO has the necessary information to operate efficiently
Qualifications
- Location: Currently residing in Japan with valid work authorization
- Language: Native or professional-level English proficiency; Japanese proficiency strongly preferred
- Experience: Proven experience in a high-level support role (Executive Assistant, Personal Assistant, or Chief of Staff), preferably in a fast-paced environment
- Skills: Strong organizational and project management skills; proficiency in modern office and communication tools
- Mindset: Highly proactive, adaptable, and capable of handling both strategic and day-to-day tasks with a “no task too big or small” attitude
- Education: Bachelor’s degree in Business, Communications, or a related field
