Key Responsibilities

1.Facility & Office Management

  • Manage office/R&D facilities across Europe, including leasing, maintenance, relocation, and vendor management.
  • Ensure compliance with health, safety, and environmental regulations.

2.Procurement & Cost Control

  • Handle administrative procurement (office supplies, IT hardware, travel services) and vendor contracts.
  • Manage budgets and identify cost-saving opportunities.

3.Travel & Expense Management

  • Develop and implement regional travel policies.
  • Negotiate corporate rates with travel providers and ensure compliance of expense reports.

4.Employee & Internal Support

  • Manage front desk, meeting logistics, and company events (team building, celebrations).
  • Implement workplace safety protocols and business continuity plans.

5.Compliance & Documentation

  • Support overseas entity registration, annual filings, and corporate insurance management.
  • Maintain organized filing of key documents and contracts.

6.Cross-border Coordination

  • Serve as the administrative liaison between China HQ and local German teams.
  • Communicate policies and relay operational needs between regions.


Requirements

1.Bachelor’s degree, with 3+ years of experience in administration or office management; experience in a Chinese-funded company in Germany is preferred.

2.Fluent in German and Mandarin (working languages); good English skills are a plus.

3.Proficient in Microsoft Office and collaboration tools (Teams, Zoom).

4.Strong organizational, interpersonal, and time management skills.
