Job Summary
Highly organized, bilingual Assistant Onboarding Manager to support the daily operations of our Onboarding Department. This team plays a critical role in enrolling and activating new accounts for our pharmaceutical company, ensuring a smooth, accurate, and timely start for every account.
This is an operations-focused leadership role (not HR). The ideal candidate will be hands-on, detail-oriented, and comfortable managing workflows, supporting Onboarding Manager, and driving efficiency in a fast-paced environment.
Requirements
DUTIES AND RESPONSABILITIES
- Assist in overseeing daily onboarding operations and team performance
- Support, coach, and guide onboarding representatives to meet productivity and quality goals
- Monitor account enrollment processes to ensure accuracy, compliance, and timeliness
- Troubleshoot escalations and resolve client or internal issues promptly
- Help manage workload distribution and staffing needs
- Track metrics and provide reporting on team performance
- Maintain clear communication across departments to ensure seamless account activation
- Support training and development of new and existing team members
- Support the Manager in daily oversight of team operations
- Act as the point of contact when the Manager is unavailable
- Provide guidance, coaching, and real-time support to staff
- Monitor productivity, attendance, and performance metrics
- Help resolve escalations or client issues professionally
- Bilingual in English and Spanish (required)
- Operations, onboarding, or pharmaceutical industry experience a plus
- Strong organizational and time management skills
- Excellent communication and problem-solving abilities
- Detail-oriented with the ability to multitask in a fast-paced environment
- Bilingual in English and Spanish (required)
- Experience with Salesforce (preferred)
- Proficiency in Google Sheets/Google Workspace
- Associate’s or Bachelor’s degree in Business Administration, Healthcare Administration, Operations Management, or a related field preferred.
- 2+ years of leadership or supervisory experience, preferably in operations, onboarding, healthcare, or pharmaceutical environments.
- Experience supporting or leading frontline operational teams in a high-volume, deadline-driven setting.
- Equivalent combination of education and relevant work experience will be considered.
