Position Overview
A fast-paced and highly collaborative investment management firm is seeking an experienced Executive Assistant to provide high-level support to senior leadership. This individual will play a critical role in managing day-to-day operations, coordinating complex schedules, and ensuring seamless communication across internal and external stakeholders.
The ideal candidate is proactive, detail-oriented, polished, and capable of operating with discretion in a dynamic professional environment. This role requires exceptional organizational skills, sound judgment, and the ability to anticipate needs before they arise.
Key Responsibilities
- Manage complex and ever-changing calendars across multiple executives and time zones
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and expense reporting
- Organize and schedule internal and external meetings, conference calls, and events
- Prepare meeting materials, presentations, agendas, and correspondence
- Act as a gatekeeper and liaison between executives, investors, portfolio companies, and external partners
- Handle confidential and sensitive information with the utmost professionalism and discretion
- Support office operations and assist with special projects, team events, and administrative initiatives as needed
- Track action items and ensure timely follow-up on priorities and deliverables
- Maintain accurate records, filing systems, and contact databases
Qualifications
- 3+ years of Executive Assistant experience supporting senior executives in a fast-paced professional services, or financial services environment
- Exceptional organizational and time management skills with strong attention to detail
- Ability to prioritize competing demands and adapt quickly in a high-performance setting
- Strong written and verbal communication skills
- High level of professionalism, discretion, and emotional intelligence
- Proficiency in Microsoft Office Suite, Outlook, and virtual meeting platforms
- Self-starter with a proactive mindset and strong problem-solving abilities
