Position Overview

Intimate Living Interiors is seeking a highly organized, detail-oriented, and proactive Procurement & Purchasing Manager to oversee the sourcing, purchasing, tracking, and coordination of furnishings, materials, and vendor relationships for our interior design projects.

This role is essential to ensuring projects run smoothly, efficiently, and on schedule from procurement through installation. The ideal candidate thrives in a fast-paced environment, communicates professionally, and has strong experience managing purchasing processes within the interior design, construction, or luxury furnishings industry.

Key Responsibilities

Procurement & Purchasing

• Source and purchase furniture, lighting, textiles, materials, accessories, and décor for client projects
• Create and manage purchase orders, vendor invoices, and procurement documentation
• Maintain accurate records of all purchasing activity and project budgets
• Verify pricing, lead times, and product specifications before ordering
• Coordinate custom orders and monitor production timelines

Vendor & Supplier Management

• Build and maintain strong relationships with vendors, manufacturers, and suppliers
• Negotiate pricing, shipping terms, and delivery schedules when appropriate
• Resolve vendor issues, damages, shortages, or discrepancies promptly and professionally
• Research and onboard new vendors aligned with the ILI brand and design aesthetic

Project Coordination

• Track all orders from placement through delivery and installation
• Coordinate with designers, warehouses, receivers, installers, and project managers
• Maintain procurement schedules to support project timelines and deadlines
• Provide regular status updates to the design team and leadership

Inventory & Logistics

• Oversee receiving schedules and delivery coordination
• Ensure items are properly tracked, inspected, and accounted for upon arrival
• Manage freight claims, returns, replacements, and damages
• Support installation preparation and logistics coordination

Financial & Administrative Support

• Assist with procurement budgeting and cost tracking
• Reconcile purchasing records with accounting and project budgets
• Ensure procurement systems and processes remain organized and efficient
• Help identify cost-saving opportunities without compromising quality or design intent

Qualifications

• 3+ years of procurement, purchasing, or operations experience
• Experience in interior design, furniture, construction, or luxury retail preferred
• Strong understanding of purchasing workflows and vendor management
• Experience with Studio Designer, QuickBooks, Design Manager, or similar software is a plus
• Exceptional organizational and time management skills
• Strong communication and problem-solving abilities
• Ability to manage multiple projects and deadlines simultaneously
