We are partnered with a digital agency that is looking for a People Operations Associate for a 6-month temporary contract position, covering a maternity leave.


This is a hybrid position, on-site 4 days per week in NYC.


People Operations Temp (Coverage for Maternity Leave)

Our team is collaborative, agile, and deeply invested in doing meaningful work and we know that starts with our people. We're looking for a People Operations Temp who is systems-savvy, highly organized, and passionate about delivering a seamless and positive employee experience across every stage of the employee lifecycle from onboarding to offboarding, and everything in between.


Position Summary:

This role is responsible for upholding the accuracy and integrity of our payroll, HRIS systems and personnel records acting as the primary owner and subject matter expert in these areas. The People Operations Temp will also manage onboarding, offboarding, reporting, and immigration coordination. This is a temporary role reporting to the People Experience Manager. The ideal candidate is systems-savvy, highly organized, and committed to delivering a positive employee experience at every stage.


Please note, this is a part time position and will only consist of 25 hours per week (5 hours per day Monday through Friday).


Key Responsibilities:

HRIS, Payroll & Benefits Ownership

  • Own the ongoing management and accuracy of ADP, Employee Navigator, and other HR systems
  • Ensure timely updates to employee records, including compensation, role changes, and personal information
  • Prepare and review semi-monthly payroll notes and registers for full-time and freelance employees
  • Maintain freelance hours tracking and ensure correct deductions or updates are reflected before payroll submission
  • Communicate directly with external vendors to investigate and resolve specific inquiries regarding benefits administration.
  • Assist with leave administration including communicating instructions to employees, calendar tracking and coordinating pay schedules.


Onboarding & Offboarding

  • Draft and issue contracts for full-time and freelance hires
  • Coordinate with IT and Finance to ensure smooth onboarding logistics
  • Set up new hires in HRIS, background check systems, and benefits platforms
  • Coordinate and schedule relevant training sessions
  • Maintain digital and physical employee records
  • Draft separation agreements and manage exit communications.
  • Notify IT and Finance of offboarding timelines and logistics


Immigration Coordination

  • Coordinate required documentation and track status updates


Compliance & Reporting

  • Generate and distribute regular HR data reports (monthly HR report, ad hoc reports)


Qualifications:

  • Proven experience managing payroll, benefits, and HRIS platforms (ADP required and Employee Navigator strongly preferred)
  • Familiarity with U.S. leave policies, including parental leave management
  • Highly organized with strong attention to detail
  • Comfortable managing multiple projects in a fast-paced environment
  • Excellent communication, problem-solving, and stakeholder management skills
  • Nice to have: Familiarity with visa and work authorization processes.
