Job Description
We are seeking an experienced Event Manager to lead on-site event execution for a full-service event production company. This role is responsible for managing load-ins, setups, live event support, strikes, load-outs, crews, vendors, venues, labor call times, trucking, and equipment movement.
The ideal candidate has strong event production experience and understands how to turn event plans, renders, packing lists, diagrams, and production notes into a successful live event. This person must be calm under pressure, highly organized, and comfortable working in a fast-paced environment with nights, weekends, and changing event needs.
Responsibilities
- Manage on-site event execution from load-in through strike and load-out.
- Coordinate crews, vendors, venues, trucking, equipment, labor call times, and event schedules.
- Read and interpret event boards, production notes, packing lists, renders, diagrams, floorplans, and setup instructions.
- Communicate with clients, internal teams, venue contacts, vendors, and event staff.
- Ensure event setups are completed accurately, safely, on time, and according to client expectations.
- Manage real-time issues, changes, delays, missing items, staffing needs, and vendor coordination.
- Oversee event crews during setup, live event support, breakdown, and return logistics.
- Monitor event budgets, timelines, labor hours, and operational details.
- Maintain a professional presence with clients and venue partners.
- Conduct post-event follow-up with internal teams to document issues, improvements, and final details.
Requirements
- 5+ years of event planning, event management, or event production experience.
- Strong experience with on-site event execution, including load-ins, setup, strike, and load-outs.
- Experience coordinating crews, vendors, venues, labor, trucking, and equipment movement.
- Ability to read event boards, diagrams, renders, packing lists, and production notes.
- Strong problem-solving skills and ability to make decisions quickly on-site.
- Experience managing budgets, timelines, staffing, and production logistics.
- Excellent communication and leadership skills.
- Ability to work nights, weekends, holidays, and long event days as needed.
- Experience in luxury events, corporate events, galas, brand activations, AV/staging, décor, or custom production preferred.
