The Role
We are looking for a detail-oriented Accounts Payable Officer to manage full-cycle AP operations for IGC and First Choice Maintenance. This role is critical for ensuring high-volume invoice accuracy, timely vendor payments, and seamless bank reconciliations in a fast-paced environment.
Key Responsibilities
- Process and post vendor bills in QuickBooks for multiple companies.
- Attach and assign invoices to team members for proper billing.
- Follow up with vendors for missing invoices and coordinate with managers to resolve billing discrepancies (POs, WOs).
- Execute vendor payments via Telpay/checks and manage corporate credit card funding.
- Perform full bank reconciliations and reconcile vendor statements against open invoices.
- Distribute statements to management and handle end-of-month data transfers.
- Prepare intercompany invoices and assist leadership with data requests for company filings.
- Perform other financial and administrative duties as assigned to support the evolving needs of the department.
- 2+ years of experience in Accounts Payable
- Proficiency in QuickBooks and Microsoft Excel skills.
- Strong communication skills with the ability to resolve billing issues with vendors and managers.
- Full-time availability to work on-site in Burlington (Monday–Friday, 9:00 AM – 5:30 PM).
