We are seeking a highly detail-oriented Client Operations Associate with hands-on experience handling new business processing, account servicing, and operational support across multiple financial services platforms and product lines.
Position Summary
The Client Operations Associate will play a key role in supporting advisors and clients through the onboarding, maintenance, and servicing of investment, retirement, and insurance-related accounts. This role is heavily operational and service-focused, requiring strong attention to detail, follow-through, and experience processing financial services paperwork accurately and efficiently.
The ideal candidate has prior experience working in a financial advisory, broker-dealer, RIA, or retirement plan environment and understands the urgency, compliance sensitivity, and accuracy required in client account servicing.
Primary Responsibilities
-Process and manage new account openings for:
- Brokerage accounts
- Advisory / managed accounts
- Variable and fixed annuities
- Retirement plan accounts
- IRA transfers and rollovers
-Handle client servicing requests including:
- Beneficiary updates
- Address and banking changes
- Distribution and withdrawal requests
- Contribution processing
- Transfer paperwork
- Required Minimum Distribution (RMD) requests
- General maintenance and account updates
-Coordinate directly with custodians, insurance carriers, retirement plan providers, and internal operations teams to resolve account issues and track pending business
-Monitor outstanding requirements and proactively follow up to ensure applications and service requests are completed in a timely manner
-Support team with operational and administrative tasks related to client onboarding and ongoing account maintenance
-Maintain accurate client records and documentation in CRM and custodial systems
-Assist with retirement plan service and participant-related operational needs when applicable
Qualifications
-Prior experience in financial services operations, client service, or new business processing required
-Strong working knowledge of:
- Brokerage and advisory account processing
- Variable annuity operations and suitability requirements
- Retirement account servicing
- General financial services compliance procedures
-Experience working with custodial and financial services platforms such as:
- Evestnet
- RightCapital / RightBridge
- Insurance carrier and annuity processing systems
-Securities licensing preferred (Series 6, 7, and/or 63/65)
-Exceptional attention to detail and organizational skills
-Ability to manage multiple priorities and deadlines in a fast-paced environment
-Strong communication and follow-up skills with both clients and internal team members
