This role is part of the Disney Experiences (DX) Strategic Sourcing team which supports internal stakeholders within the Design and Construction sector. A major client is Facility Asset Management (FAM), a large Project Management organization.
The Sourcing Specialist supporting this team will provide hands-on, execution-focused support to the Category Manager – Sourcing Leader and to Client project teams by facilitating bid and contracting activities. A successful personnel would appreciate strong attention to detail, fast paced environment and procedural tasks. This includes coordinating ITBs and/or RFPs, vendor pre-qualification activities and, bid, contract/ amendment preparation. The role requires sound judgement, organization and a positive attitude to best support the overall Business’s needs.
Responsibilities:
- Support execution of Invitations to Bid (ITBs) and/or RFPs from initial inquiry through award, including meeting coordination, addenda issuance, creation of bid summaries, post-bid interviews, and final award documentation.
- Prepare, issue, and route contracts and supporting documentation using approved templates; ensure completeness, correct versioning, and required approvals prior to release.
- Coordinate with project teams to confirm scope, schedule, and required commercial terms; track open items and follow up to support on-time awards.
- Support vendor pre-qualification and due diligence (financials, capabilities, certifications, safety/compliance documentation); summarize findings and flag risks or exceptions.
- Maintain organized files and accurate trackers for bids, contracts, amendments, and approvals to ensure work is audit-ready and easy to reference.
- Draft clear, concise communications to stakeholders and vendors regarding requirements, timelines, and next steps.
- Review documentation for inconsistencies, missing information, or potential contract risks; elevate issues and recommend practical options to resolve.
- 1–3 years of experience in sourcing execution, contract administration, procurement operations, or similar project support work. Experience in a technical environment like: construction, design, or other specialty professional services environments is preferred.
- Working knowledge of common contract types (Lump Sum, Design-Build, Professional Services, Guaranteed Maximum Price, etc.) and their appropriate use.
- Experience executing an ITB/RFP process end-to-end (inquiry through award).
- Demonstrated ability to identify gaps or risks during the sourcing process (scope clarity, required documentation, vendor qualification items, commercial terms).
- Strong attention to detail; consistently produces accurate, complete work with low error rates in documentation and process steps.
- Highly organized and dependable; able to manage multiple priorities, track deadlines, and maintain clean records.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and comfortable working from templates, trackers, and standard process steps.
- Clear written and verbal communication skills; able to provide accurate guidance on required steps, documentation, and timing.
- Bachelor’s degree in a related field or equivalent relevant experience
- Experience supporting construction and/or design teams (estimating support, project coordination, project management support, contract administration).
- Experience supporting contract negotiations through drafting support, redline tracking, and issue identification.
- Familiarity with reporting tools (Power BI and/or Tableau) a plus.
- Relevant certifications (CPSM, CPIM, DAWIA, Engineering Intern, or equivalent) a plus.
