Purpose of the Role:
The key purpose of this role is to own the strategy, roadmap, delivery and lifecycle management of outpatient-facing clinical applications. These applications currently support digital dictation, patient self-registration and two-way communication with patients (and may change over their lifecycle). The role ensures solutions are safe, usable, interoperable, compliant, and deliver measurable operational and clinical benefit across outpatient services.
The role will be part of the Digital Health, reporting to the Digital Health Lead and working closely with:
- EPR Product Manager and EPR team to oversee the configuration and integration of third-party systems within EPR and PAS.
- The wider IMS teams esp. integration, data and infrastructure/operations.
- Outpatient admin managers, clinical leads, nurses.
- All hospital departments.
- Vendor customer and technical account management.
The successful candidate is expected to be a self-starter with the ability to work as part of a team and independently as required.
Products in Scope
These products will be subject to change over the life-time of the products and the role, but indicatively current responsibilities include:
- Speech Recognition (Clinical Documentation)
- Front-end clinician capture (real-time dictation) and/or back-end transcription workflows.
- Templates, smart phrases, structured data capture opportunities.
- Integration with EPR/PAS (notes, letters, referrals, coding support).
- Two‑Way Text Messaging
- Appointment notifications, confirmations, reminders, prep instructions.
- Patient replies (confirm/reschedule/cancel, questions, symptom prompts where approved).
- Escalation rules to call centre/clinic teams; audit trails.
- Patient Self‑Registration
- Kiosk and/or mobile check‑in (arrival confirmation, demographics, consents).
- Eligibility checks, appointment validation, wayfinding and queue integration.
- Exception handling (e.g. identity mismatch).
Key Responsibilities
Product Strategy & Design
- Being proficient with clinical applications solutions, configuration, integration with other systems and support of same.
- Maintain a clear product roadmap aligned with the outpatient transformation goals (reduced DNAs, improved throughput, improved documentation quality).
- Work closely with admin teams, clinicians and patients to understand workflows processes and pain points and translate these requirements into digital solutions.
Delivery & Change (end-to-end)
- Managing system configuration and controlled upgrades, co-ordinating with suppliers and hospital stakeholders to assess benefits and risks, ensuring synchronisation.
- Ensure change control processes are robust and auditable for each system.
- System maintenance:
- Joiners/Movers/Leavers processes
- Monitoring that outstanding tasks are completed in a timely manner.
- Co-ordinating Service Requests (SRs) to prioritise and follow up based on volume, risk and impact.
- Ensuring role based access protocols applied and least privilege access.
- Approving Production Environment Change Authorisation (PECA) requests.
Clinical Safety, Risk & Governance
- Ensuring clinical and operational risks are identified and managed:
- Co-ordinating relevant sign-offs are required (e.g. clinical, information governance, operational).
- Leading safety or incident investigations related to the products.
- Ensuring monitoring and auditing available to alert if interfaces remain fit for purpose or require investigation.
- Playing a key role in processes such as risk management and Digital Health Change Board meetings.
Integration & Data (Interoperability)
- Own integration requirements with PAS/EPR and related systems:
- Scheduling/appointments, arrival status, demographics, contact preferences.
- Document storage/notes/letters for speech recognition outputs.
- Audit logs, reporting feeds, and data quality controls.
- Collaborate with integration teams on HL7/FHIR/APIs, message acknowledgement handling, resilience and monitoring.
Vendor Management
- Overseeing the day to day communication process with supplier partner in relation to roadmap alignment, release planning, support escalations, SLAs and licensing.
- Lead procurement inputs.
Other Responsibilities
- Participate and cooperate with legislative and regulatory requirements in relation to Health and Safety as outlined in the Safety, Health and Welfare Act 2005 and the Hospital Safety Statement.
- Ensure own mandatory learning and training is kept up to date.

Required:
- Minimum of 3 years’ experience in product/application management, clinical systems delivery, outpatient service delivery or similar.
- Experience implementing patient-facing or clinician-facing digital tools in healthcare.
- Track record of improving operational outcomes through digital change.
- Demonstrate product/project/change management experience.
- Demonstrate evidence of strong stakeholder management in clinical and/or operational environments.
- Experience with Clinical Applications.
Desired:
- Experience with vendor management and procurement processes.
- Formal training/certifications (optional): Agile/Scrum, Product Management, ITIL foundation.
- Experience with EPR/PAS ecosystems and outpatient scheduling integrations
- Experience with speech recognition tooling, patient communication platforms, kiosks/self check in or outpatient workflows (scheduling, arrivals, waiting lists, clinic flow, outcomes).
- Interoperability basics (HL7/FHIR concepts), experience with clinical applications
- Outpatient workflows.
