What you'll do:
As a CIB Assistant, you will handle a wide range of confidential administrative and secretarial tasks in a fast-paced environment. The role requires flexibility, strong judgment, professionalism, and a proactive approach to supporting business needs.
- Manage diary management with a client-facing focus, handling stakeholders.
- Coordinated complex travel arrangements within policy, including flights, rail, visas, accommodation and ground transport, while managing frequent last-minute changes and preparing detailed itineraries.
- Managed business expenses with offshore teams, including reimbursements, personal spend and outstanding balances.
- System expert across internal platforms, ensuring accurate data entry in Concur, eSource, Travel Portal, iMeet/iMemo, Concierge services, Zoom, OMD and FTC.
- Acted as an integral part of the business, aligned with group priorities and expectations, fostering a strong team ethics and demonstrating a high level of flexibility.
- Managed internal and external meetings, including conference calls and virtual platforms (Zoom, telepresence, BlueJeans).
- Provided general administrative support, including room bookings, filing, copying, faxing, stationery orders and business cards.
- Collaborate with assistants across the CIB team to ensure seamless coverage.
What You Bring:
- Professional client relationship management across clients, bankers and administrative groups, with strong diary management and sound judgement in prioritising competing demands.
- Experienced in arranging travel and producing accurate itineraries with contingency planning (Plan B & C), confidently navigating systems and applying sound judgement to optimise travellers' time and business costs.
- Proactive with strong ownership of the role and solid technical capabilities, alongside a good understanding of expense systems and cost control, ensuring timely processing and adherence to expense policy.
- Polished and professional with a calm, composed manner, able to work well under pressure and partner effectively with peers, taking a positive and practical approach to managing schedules and time while remaining flexible, adaptable, and fully office-based.
- Proactive and solutions-oriented, with strong initiative to follow up without prompting, stay one step ahead of requirements, and see tasks through to completion, consistently delivering high-quality results with excellent attention to detail.
- Understands the culture and working environment of Investment Banking.
- Strong attention to detail with a consistent focus on delivering high-quality results, and a collaborative team player able to build networks and work effectively with peers, management and senior stakeholders.
- Quick to understand the organisational landscape and key stakeholders, with the potential to act as a role model by leading by example.
