Job Description:


We are seeking an Office & Events Assistant to support the daily functioning of our office and assist the team with various tasks. This role is central to ensuring expectations are met and nothing falls through the cracks.


The Office & Events Assistant works closely with every member of the team to provide support and with daily operations and assist with details leading up to meetings and events. The ideal candidate is a proactive, dependable professional who is highly organized and self-motivated, demonstrating strong initiative and the ability to excel in a fast-paced environment.


This is an excellent opportunity for someone who enjoys both organizational work and investigative tasks, with strong attention to detail and a collaborative mindset. This is a full-time, hybrid position that is based out of our office in Chicago, IL (Rosemont area). Occasional local and Florida travel may be required, along with infrequent evening and weekend availability.


Responsibilities include:


Office Support

  • Provide administrative support to the events team
  • Prepare briefing materials, send packages via Fed Ex, UPS, and USPS, process mail
  • Research and list management
  • Assist with correspondence, email management, and professional communications
  • Run, manage, and track recurring email campaigns using GMass, YAMM, and Mail Merge
  • Maintain and organize digital and physical files, event materials, and office systems
  • Support client relations by preparing materials, managing RSVPs, and assisting with guest communications
  • Assist with event-day needs as required, which may include on-site support


Event, Travel & Program Support

  • Support the strategic planning and seamless execution of events, fundraisers, and client experiences that advance the organization’s mission
  • Coordinate logistics across internal teams, clients, and external partners to ensure a high-quality, detail-oriented experience
  • Manage complex travel arrangements and itineraries for leadership and clients across multiple locations
  • Develop and execute program materials and event deliverables that reflect the organization’s brand and purpose
  • Track timelines, key milestones, and vendor partnerships to ensure successful and timely delivery
  • Contribute to sponsor communications and materials, helping to strengthen relationships and enhance engagement


Qualifications:


  • Bachelor’s degree preferred, but not required
  • Reliable, dependable, and highly organized with strong follow-through
  • Motivated self-starter who takes initiative and works independently when needed
  • Ability to manage confidential information with discretion
  • High level of professionalism when interacting with senior stakeholders
  • Strong organizational and project management skills with the ability to juggle multiple priorities
  • Experience supporting senior leadership and managing cross-functional workflows
  • Ability to anticipate needs, problem-solve independently, and operate with discretion
  • Familiarity with technology willingness to learn new platforms, website programs, and tools
