Direct reporting to CEO / Chief of Staff
We are looking for a highly organized and proactive Executive Assistant who can support daily executive operations and help manage schedules, coordination, and administrative tasks in a fast-paced environment.
Key Responsibilities
Administrative Support
- Manage the Chief of Staff`s calendar, including scheduling meetings, coordinating with internal and external stakeholders, and ensuring alignment with business priorities.
- Handle travel arrangements, including booking reservations, accommodations, and transportation, for special projects and engagements.
- Maintain and organize records, including reports, invoices, and expense reports while ensuring confidentiality of records.
- Perform bookkeeping tasks.
- Prepare and manage correspondence, emails, and other communication on behalf of the Chief of Staff.
- Assist with personal tasks and errands as required.
- Provide support in tracking key deliverables and timelines for initiatives.
- Work with different departments to ensure smooth execution of project objectives and milestones.
- Develop and maintain project documentation, including project plans, status reports, and meeting minutes.
- Assist in risk assessment and mitigation strategies for projects.
- Act as the point of contact between the Chief of Staff and other teams, partners, and stakeholders.
- Draft, proofread, and edit presentations and reports related to special projects.
- Assist in coordinating events, activations, or meetings related to project initiatives.
- Build and maintain strong relationships with key stakeholders and partners.
- Ensure timely and effective communication of project updates to all relevant parties.
- Oversee the offices operational activities, ensuring a conducive and efficient working environment.
- Order and manage office supplies and equipment.
- Coordinate with IT and facilities teams for any office-related needs.
- Ability to work in a standard office environment and perform computer-based tasks for extended periods
- Ability to communicate effectively with team members and stakeholders
- For field roles: ability to travel within assigned operational areas
- Ability to occasionally stand, walk, or move between work locations depending on job responsibilities
