Records Management Assistant

Job Type - Temporary Part-time/Nonexempt

Location - Tacoma WA

APA - The Engineered Wood Association is hiring a Records Management Assistant for a temporary summer position to help with a focused records review and organizational project. If you are someone who loves order, notices the details others miss, and takes pride in accurate, behind-the-scenes work, this could be a great fit.

This role involves working with physical and electronic records, so trustworthiness, focus, and respect for confidentiality are extremely important. You will spend much of your time reviewing files, identifying issues, and documenting what you find.

What You Will Be Doing

  • Review physical and electronic records to make sure they follow APA's Records Management Policy
  • Spot and document records that are missing information, misfiled, outdated, or otherwise out of compliance
  • Help organize, categorize, and index records using established systems
  • Keep clear logs of records reviewed and issues identified
  • Share findings in simple, written summaries
  • Work with divisional staff as needed to clarify records questions
  • Handle all records and sensitive information with strict confidentiality.

Requirements

What You Need to be Successful

These are required. Applicants must meet all of the following:

  • High school diploma or equivalent
  • Strong attention to detail and ability to consistently follow procedures
  • Comfortable working independently and staying on task
  • Working knowledge of Microsoft Office (Outlook, Word, Excel)
  • Clear written and communication skills
  • Proven ability to handle confidential information appropriately

Nice To Have (But Not Required)

  • Previous experience in records management, filing, or administrative work
  • Familiarity with ARMA records management standards
  • Experience with document management or electronic content management systems
  • Basic knowledge of records retention or compliance regulations (such as HIPAA or SOX)

Work Expectations

  • Part-time 25-30 hours per week
  • On-site work in a professional office environment through project completion
  • Consistent focus on accuracy, organization, and documentation quality
  • Position is temporary and limited to summer project period only
  • Reliable availability for the full assignment is expected

Physical Requirements - Reasonable Accommodation Available

  • Regular use of hands, frequent standing, walking, and sitting with occasional reaching, or stooping.
  • Ability to occasionally lift or move file boxes or records materials (generally up to 20 pounds)
  • Required vision abilities include close, distance, and ability to adjust focus.

  • Wage of $17.13 per hour
  • This position accrues paid sick leave in accordance with Washington state law with a minimum 1 hour for every 40 hours worked. Accrued sick leave may be used beginning on the 90th calendar day of employment.
