DH Pace Company, Inc. is seeking a highly organized and proactive Vendor Management Specialist based in our corporate office in Olathe, KS. This opportunity will support vendor operations and documentation management across the organization. This role plays a critical part in ensuring vendor compliance, maintaining documentation accuracy, and supporting internal stakeholders with timely, professional communication.

Job Responsibilities
- Review, analyze, and maintain vendor documentation to ensure accuracy, completeness, and compliance with company standards.
- Identify inconsistencies or discrepancies in contracts, insurance documentation, and vendor records and proactively resolve issues.
- Partner with internal stakeholders to understand reporting, documentation, and compliance needs.
- Coordinate the collection, tracking, and archiving of vendor-related documents within established timelines.
- Draft and manage written communications related to vendor contracts and documentation requirements.
- Maintain an organized and accessible vendor library, ensuring records are current and audit-ready.
- Develop and manage project timelines to meet deadlines in a fast-paced environment.
- Contribute to process improvements that enhance efficiency, organization, and operational effectiveness.
- Provide support on cross-functional initiatives and special projects as needed.
- Bachelor’s degree or continuing education in Business Administration, Operations, or a related field preferred.
- 2+ years of administrative, vendor coordination, contract support, or operations experience.
- Demonstrated ability to work independently and take initiative with minimal supervision.
- Strong time management and prioritization skills with the ability to adapt to shifting priorities.
- Proactive problem-solving mindset with strong attention to detail.
- Professional communication skills and a collaborative approach when working cross-functionally.
- Experience with contracts, insurance documentation, construction vendors, or compliance processes is a plus.
