Job Description

We are seeking a highly organized, proactive, and execution-focused Personal Assistant to support the CEO. This role goes beyond traditional administrative support. The ideal candidate will act as a force multiplier, ensuring the CEO’s time is optimized and priorities are executed efficiently across the organization.

This position requires exceptional organizational skills, strong judgment, high discretion, and the ability to operate independently in a fast-paced environment. Over time, the role is expected to evolve into a broader operational leadership or Chief of Staff–type position, supporting cross-functional execution and company growth.

Key Responsibilities

  • Manage and optimize the CEO’s complex calendar, including meetings, travel arrangements, and shifting priorities.
  • Act as the primary point of contact for internal and external stakeholders on behalf of the CEO.
  • Filter, prioritize, and draft communications to ensure timely and effective responses.
  • Prepare meeting agendas, briefing materials, and presentations in advance of key discussions.
  • Take structured meeting notes and track action items to ensure follow-through and accountability.
  • Support cross-department coordination to ensure alignment with CEO priorities.
  • Research, compile, and present data or reports as required.
  • Lead or assist with special projects and strategic initiatives assigned by the CEO.
  • Maintain strict confidentiality and professionalism when handling sensitive information.

Qualifications

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role supporting senior leadership.
  • Strong organizational and time-management skills in a dynamic environment.
  • Excellent written and verbal communication skills in English.
  • High proficiency in Google Workspace and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to operate independently with minimal supervision.
  • Strong problem-solving skills and attention to detail.
  • High level of integrity, discretion, and professionalism.
  • Bachelor’s degree or equivalent professional experience preferred.

Good to Have

  • Experience in fast-growing startups or technology companies.
  • Experience supporting a CEO or founder in a scaling organization.
  • Basic understanding of SaaS business models and operational workflows.
  • Experience with project management tools such as Jira, Asana, or Notion.
