Job Description
Position Overview:
The School Supplies and Inventory Assistant is responsible for the procurement, receiving, organization, and distribution of all school materials. This includes everything from basic classroom stationary and cleaning supplies to high-value assets like laptops and tablets. The primary goal is to maintain 100% stock availability while minimizing waste and preventing loss through meticulous tracking. This role will work collaboratively with the Director of Operations and Managing Director of Operations to ensure that purchases are received, organized, and delivered in a timely manner to respective stakeholders.
Key Responsibilities:
Inventory Control and Asset Tracking
- Apply district identification tags to all new high-value equipment (computers, lab equipment, musical instruments).
- Conduct regular physical counts of inventory to reconcile with digital records in the Inventory Management System.
- Monitor and report discrepancies or "shrinkage" in the supply chain.
- Monitor stock levels and generate purchase requisitions for the Purchasing Department before supplies run out.
- Receive daily deliveries, verify packing slips against physical items, and inspect goods for damage.
- Manage the process for defective items or incorrect shipments, ensuring credits are applied to district accounts.
- Process "supply requests" from teachers and staff, pulling items from the central stock and delivering them to classrooms.
- Maintain a clean, safe, and logically organized storage area (using a FIFO—First In, First Out—system for perishable items like glue or batteries).
- Assist in the setup of classrooms or large events by moving furniture and bulk supplies as needed.
- High School Diploma or GED required; vocational training in logistics or supply chain is a plus.
- Proficiency in barcode scanning technology and basic spreadsheet software (Excel/Google Sheets).
- Ability to lift and carry up to 50 lbs, climb ladders, and remain on your feet for extended periods.
