Personal Assistant to Senior Management F/M

- Own complex diary management for senior management: scheduling and prioritising meetings and activities, often across multiple time zones and in coordination with other senior executive offices globally
- Coordinate end‑to‑end global travel: bookings, itineraries, travel pre‑approval forms, visas where needed, and accurate, timely expense submissions in line with corporate travel policy
- Organise physical meetings, workshops and web conferences/events: booking rooms/venues, managing logistics, materials and technical set‑up
- Act as a proxy in internal systems: create purchase orders, process invoices, monitor and control expenses, and support ad hoc projects and coordination with internal stakeholders
- Support preparation of documents and presentations: formatting, proof‑reading and ensuring materials are accurate and ready on time
- Provide wider administrative support to the Executive team when needed: agendas, minutes, follow‑ups, maintaining contact lists and managing small administrative projects
- Work effectively in an environment shaped by artificial intelligence (AI), machine learning, data analytics and cloud-based tools, using insight responsibly and in line with our standards for data governance, security and ethical use
- Solid, recent experience as an Executive Assistant / Personal Assistant supporting senior management or C‑level leaders, with demonstrable ownership of diaries, travel and high‑stakes meetings
- Proven ability to handle confidential and sensitive information with discretion, strong judgement and tact, and to manage a wide range of stakeholders professionally
- Clear, concise communication skills, able to structure information and present it in a synthetic, easy‑to‑use way (emails, summaries, decks, meeting notes)
- Excellent time‑management and organisational skills: you can juggle conflicting priorities, adapt quickly to last‑minute changes and still deliver reliably
- Strong practical skills in MS Office (Word, Excel, PowerPoint, Outlook) and experience as a SAP user or similar corporate systems
- Fluent English; German and/or French would be an advantage
