Overview
We are partnered with a growing commercial general contractor focused on retail, restaurant, and light commercial construction projects across Texas and surrounding markets. The team is looking to add a Project Coordinator to support both field and project management operations, helping keep projects organized, moving, and properly documented from preconstruction through closeout.
About the Role
The Project Coordinator works closely with Project Managers, Superintendents, subcontractors, and clients to support document control, scheduling, procurement tracking, subcontractor coordination, and overall project execution.
Role and Responsibilities
- Maintain project documentation including drawings, specifications, revisions, RFIs, submittals, change orders, and meeting records within Procore and internal systems
- Manage document control processes including version tracking, distribution of updated plans, and confirmation that subcontractors are working from current documents
- Build and maintain submittal logs while tracking approval status and following up with subcontractors, vendors, architects, and engineers to keep procurement moving
- Draft and distribute RFIs based on field and PM direction while tracking response timelines and coordinating communication with impacted trades
- Assist with procurement tracking for long lead items including doors, steel, RTUs, storefront systems, and electrical equipment
- Coordinate deliveries with field teams and track material lead times to help avoid schedule impacts
- Support Project Managers with bid leveling, scope reviews, contract documentation, and buyout coordination
- Update and maintain look ahead schedules while coordinating subcontractor sequencing, durations, manpower, and workflow
- Identify and communicate scheduling conflicts, manpower concerns, delays, and critical path impacts
- Schedule inspections and maintain permit and inspection logs throughout the project lifecycle
- Track subcontractor daily reports, manpower reporting, and field coordination items
- Prepare and distribute meeting minutes for owner meetings, OAC meetings, and subcontractor coordination meetings
- Assist with weekly reporting, executive summaries, and project status updates for leadership and clients
- Support financial tracking efforts including pay applications, pending change orders, commitment tracking, and invoice organization
- Coordinate project closeout documentation including punch lists, warranties, O&M manuals, as builts, and Certificate of Occupancy requirements
- Assist with day-to-day project administration and communication to help maintain project flow and accountability
Qualifications and Experience
- 2+ years of experience in construction project coordination, project engineering, or project administration with a general contractor
- Proficiency with Procore and construction document management workflows required
- Familiarity with RFIs, submittals, shop drawings, change orders, scheduling updates, and procurement tracking
- Ability to coordinate with subcontractors, vendors, architects, inspectors, and internal project teams
- Strong organizational skills with the ability to manage multiple moving pieces across active projects
- Working knowledge of construction scheduling and critical path coordination preferred
