The WPA Client Services Associate plays an integral role in the overall client experience and his/her priority is to “over-serve” our clients with a can-do-attitude.


What You’ll be Doing

· Serve as a key point of contact for clients, delivering a warm and elevated experience across all interactions while developing trusted relationships.

· Provide “within the day” response to all client requests.

· Partner closely with Advisors to support client service needs, proactively resolve issues, and ensure timely follow-through on all requests.

· Manage the client onboarding process, including documentation preparation, relationship review, submission and reconciliation of transferred assets while keeping the associated advisor informed.

· Process and manage a wide range of account maintenance and transactional requests including money movement, gifting, beneficiary updates and client record changes with a high degree of accuracy and attention to detail.

· Maintain a strong working relationship with our Schwab Service Team and independently monitor and promptly respond to all alerts and service issues.

· Organize and manage clients’ quarterly estimated tax payments.

· Maintain and continuously enhance client records within CRM system to ensure data integrity and accessibility.

· Identify opportunities to improve processes and contribute to operational efficiencies that enhance the client experience.

· Support the overall office operations and client experience initiatives include handling mail, ordering UPS/ FedEx supplies, beverage service, tidying conference rooms, client correspondence, and client gifts (cookies for birthdays; oranges for holidays.)


Qualifications and Position Requirements

· Demonstrated ability to manage priorities in a fast-paced, detail-driven environment with a high level of accuracy

· Strong organizational and problem-solving skills, with the ability to take initiative and work independently.

· Professional communication skills, both written and verbal with the ability to interact confidently with clients

· Excellent customer service and administrative skills

· Proficiency in Microsoft Office, mail merges and experience with CRM systems

· Working knowledge of financial services operations, client account management, and regulatory compliance are strongly valued.

· A collaborative mindset paired with accountability, adaptability and sound judgment.
