The operations Coordinator supports the establishment and continuous maintenance of a system-driven operating platform across Property & Facility Management.
The role is responsible for building and controlling structured reporting systems, centralized repositories, performance dashboards, governance trackers, and financial visibility tools that enable disciplined execution across the department.
The position creates and manages a centralized digital control environment where data integrity, live reporting, documentation governance, and cross-functional coordination are maintained under structured access and version control.
Responsibilities:
1.Performance Management & Dashboard Architecture:
Establish and maintain a live, structured performance management system across the department:
- Design, build, and maintain Excel-based operational dashboards integrated with Power BI where required.
- Convert departmental KPIs into measurable, live, and automated tracking systems.
- Maintain automated performance trackers with controlled access and minimal manual input.
- Develop standardized reporting packs for weekly and monthly management review.
- Ensure reporting accuracy, version control, and structured update cadence.

2.Data Governance & Central Repository Control
Establish and control a centralized digital repository and data structure across the department
- Create and manage structured central repository for reports, SOPs, contracts, and trackers
- Implement controlled-access structure where data input is permitted but structural edits are restricted
- Integrate reporting outputs from ERP and CAFM into centralized reporting dashboards
- Maintain automated reporting templates and structured folder governance
- Ensure data integrity, structured storage, and retrieval discipline

3.Process Design & Governance Implementation
Translate strategy into documented processes and structured execution models.
- Develop process maps, workflows, and escalation matrices using structured tools (e.g., Visio or equivalent)
- Assist in drafting, organizing, and maintaining SOPs across property and facility functions
- Establish decision-rights documentation and reporting hierarchies
- Monitor compliance with defined processes and governance frameworks
- Optimize and refine operational workflows continuously.

4.Financial & Operational Visibility Systems
Create structured financial and operational reporting frameworks.
- Develop and maintain cost tracking and budget monitoring systems.
- Coordinate structured financial reporting with Finance and Procurement.
- Maintain OPEX tracking dashboards and variance reporting models.
- Support PNL visibility across assets through live reporting systems.
- Ensure financial data integration into performance dashboards.

5. Cross-Functional Coordination & Departmental Administration.
Ensure structured coordination and execution across the department
- Maintain departmental action trackers and initiative follow-up logs.
- Coordinate reporting inputs across FM, Property, Leasing, Finance, and Procurement.
- Organize structured departmental meetings and documentation of outputs.
- Monitor progress against roadmap milestones and strategic initiatives.
- Provide direct operational coordination support to the Head of Department.

Qualifications:
- Bachelor’s degree in business administration or equivalent
- Specialization: Data analytics, Excel, Power BI certifications are an advantage
- Experience: 5–10 years, including minimum 3 years in data analysis, PMO or
- structured operational role.
