Duties and Responsibilities
- Security/Safety and Cleanliness of the Property
- In-charge to keep the property/building safe and secure.
- Makes periodic inspections of assigned facilities to determine condition; diagnoses problems (if necessary) and initiates proper action.
- Check and monitor the general upkeep and cleanliness and cleanliness of the building, its surroundings and facilities.
- Assisting with emergency response and evacuations
- Maintenance
- Plans and schedules regular building and equipment maintenance; establishes work priorities; issues work orders.
- Facilitates remodeling, alterations and installation projects; upon approval by top management, and supervises maintenance thereof.
- Facilitates and recommends appropriate budget for maintenance works and obtains approval from top management prior implementation.
- Monitors maintenance-related requirements of the facility including but not limited to, repair, remodeling, installations, and similar projects and related facilities, furnishings and equipment or at a shop.
- Contracting professionals for repairs as needed.
- Evaluates performance of service contractors based on set criteria and makes appropriate recommendations on their status as per results of evaluation.
- Ensuring that tenants are provided with proper utilities
- Inspecting the building frequently for signs of damage or wear
- Compliance (Internal and External)
- Ensures that all building administration and maintenance policies and procedures are implemented according to standards set by the company.
- Oversee compliance of tenants to terms of lease/use lease premises.
- Ensure compliance of the building/facility to local and national laws (i.e. City Govt., DENR, DOLE, etc.).
- Drafting and updating emergency plans and evacuation procedures.
- Overseeing security, fire prevention, and other safety systems. (Conduct Fire and Earthquake Drill)

- Tenant Relations
- Maintain good relationship with tenants.
- Facilitate move in/out of tenant; Accomplishment of Turnover Checklist.
- Coordinates with tenants in the construction requirements of the shop/stall, including issuance of house rules, work permits and gate pass.
- Assess and inspects construction progress of tenants and ensures that engineering or approved blueprint specifications and requirements are strictly complied with.
- Maintain continuous communication and address all tenant concerns regarding the building, payments and other related issues and/or concerns.
- Resolving complaints, problems, and requests from tenants.
- Maintaining records of tenants, including emergency contact information.
- Entertain inquiries and look for tenants to fill vacant spaces/units.
- Others
- Prepares and submits Monthly Status Report of Building Administration.
- Reviews the monthly utility consumption of tenants and furnish a summary to be used as attachment for billing summary report.
- Assist in collection of payments from tenants.
- Preferably with experience in Property Management
- Knowledgeable in design and Autocad
- Good analytical and interpersonal skills
- Good technical and management skills
- Flexible and can adapt easily
- Strong leadership qualities
- Preferably a graduate of either Electrical Engineering, Civil Engineering and/or Mechanical Engineering. Board Passer is a huge advantage.
- A graduate of other related course is also welcome provided they have experience in Building Administration or Property Management.
