Job Title: Business Support Specialist (Open to recent graduates who are eager to learn)

Location: Hollywood, FL (onsite)

Employment Type: Permanent


About the Role:

We are looking for a Business Support Specialist to join our team in the energy sector. In this role, you will contribute to supporting senior leadership by attending meetings, capturing key discussions, and ensuring follow-ups and action items are executed. You will also be responsible for creating and maintaining high-quality presentations and supporting visual content.

Responsibilities:

  • Attend all meetings alongside senior leadership and take detailed, structured notes.
  • Capture key takeaways, decisions, and action items from every meeting and conversation.
  • Organize and manage follow-ups to ensure nothing falls through the cracks.
  • Track ongoing tasks, priorities, and projects across multiple workstreams.
  • Manage calendar, scheduling, and coordination across time zones.
  • Handle email communication, drafting responses, and follow-ups.
  • Create, edit, and maintain high-quality presentations (investor decks, partner materials, internal documents).
  • Support the creation of simple animations or visual content when needed for presentations or external communication.
  • Ensure consistency in formatting, branding, and messaging across all materials.
  • Coordinate with internal teams and external partners when required.

Requirements:

  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication.
  • Ability to capture and structure information clearly and accurately.
  • High attention to detail and strong follow-through.
  • Proficiency in PowerPoint, Google Slides, or Keynote.
  • Ability to turn rough ideas into polished presentations.
  • Comfortable working in a fast-paced, high-responsibility environment.
  • Professional, reliable, and able to operate with discretion.

Preferred Qualifications:

  • Experience supporting executives or founders.
  • Experience in business operations, project management, or similar roles.
