An investment firm in NYC is seeking an Executive Assistant to support their Investor Relations team. This is a challenging yet interesting position that allows direct impact at the highest level, working in a collaborative team environment. Ideally, candidates would have prior experience supporting an investor relations team.
Hybrid schedule, 4 days onsite, 1 remote
Hours 8:30 am - 5:30 pm, with overtime needed on occasion
Salary: $140-150K plus bonus
Responsibilities:
- Provide high-level administrative support to the investment team, ensuring seamless operations and effective communication.
- Manage complex calendars, schedule meetings, and prioritize tasks for senior executives.
- Coordinate travel arrangements, including detailed itineraries, for business-related purposes.
- Prepare and submit expense reports with accuracy and timeliness.
- Screen and manage calls, ensuring professional communication and prioritization.
- Assist in organizing company events and activities to foster team collaboration.
- Maintain confidentiality and handle sensitive information with discretion.
- Collaborate with other administrative staff on office operations and special projects.
- Meet and greet investors, business partners, and guests professionally.
- Assist with miscellaneous administrative duties as required by the team.
Requirements
- Bachelor’s degree preferred; minimum two years of college required.
- Eight or more years of corporate experience in a similar role preferred.
- Strong organizational and time management skills with attention to detail.
- Proficiency in Microsoft Office; experience with Concur or Salesforce is a plus.
- Excellent communication skills via email and phone.
- Ability to work collaboratively and build effective team relationships.
- Demonstrated ability to prioritize tasks and manage multiple responsibilities.
- Professional demeanor and ability to maintain confidentiality.
